Use of Meeting Space
By initialing above, you agree to the following terms: 
  • Only food warming is permitted in OTEC kitchens. Cooking of food items is not allowed.
  • The member agrees to help keep the room clean. All trash should be removed from the room and placed in the dumpster outside the building. Cleaning supplies will not be provided by OTEC. 
  • Restrooms and limited kitchen facilities are available in most rooms; however, kitchen facilities may not be available at all locations. Supplies will not be provided by OTEC. 
  • Animals are not allowed in meeting rooms.
  • No beverages are available for purchase at the facilities.
  • If use is after regular business hours, an electronic pass key must be picked up during OTEC business hours, Monday through Friday, 9 a.m. to 5 p.m. For evening and outside of-business hours use, the member shall ensure doors are locked and that the key is placed in the night depository box.
  • All OTEC facilities are electronically secure. All doors will remain locked at all times. Doors will not be propped open or left ajar for any reason.
  • Movement within the facility outside of designated areas is prohibited.
  • The member agrees to advise attendees to park away from the facility’s front areas that are reserved for office business.
  • All OTEC facilities are tobacco and smoke-free, and the use of alcoholic beverages is prohibited on the premises. Tobacco products are allowed outside the meeting room, where trash receptacles are provided. OTEC’s lobby shall not be used for cell phone calls or conversations.
  • The member will set up the room as desired, and they are responsible for returning the room set up to its previous arrangement and condition. As a reminder, the electronic key will only work during the time specified on the request. The member is responsible for any damage to facilities. Some facilities contain a divider wall not to be moved by anyone other than a designated representative. Repair for damage to any part of the facility, including the divider wall, will be borne by the member.
  • OTEC does not provide kitchen or office supplies, nor message or secretarial service for meeting room users.Audio visual equipment may be available for use by the member; however, the member is solely responsible for IT support – OTEC will not provide IT support for technical difficulties.

Oregon Trail Electric Cooperative (OTEC) has a meeting room available to clubs, service organizations, schools, and individuals who are members of OTEC. OTEC need for the meeting room will have precedence over public use. Every consideration will be given to a reservation; however, OTEC need could cause cancellation.
Use of a meeting room requires completion of this Agreement by a member and approval by the Member Relations Department.
